Meeting Preparation – Start Public Display

Overview  

This document assumes you are now familiar with Creating, Preparing and Running a Basic Meeting.  One of the first things you will want to do when starting a new meeting is to “Open the Public Display”.  This is the screen that you can display on one or more large monitors in your meeting room, allowing the public to see all Agenda action as it happens.   

We’ll assume here that you’ve picked a meeting from the Home / Select Group / Meeting screen within the Meeting Manager. If you have any questions about preparing, or loading/starting meetings, please see the following links: 

Details / Sequence of Events 

Once you’ve selected your meeting in the Meeting Manager, you’ll be presented with the following screen.  Here you will see Step 1: Configuration Setup, Step 2: Load Agenda and Step 3: Load Meeting options on the left as shown below. Always quickly review that you have indeed selected the correct Configuration & Agenda. You may also edit your agenda here, for any last-minute changes.

Select the green Load Meeting button.

Select Public Display 

Once the Load Meeting button has been pressed, you’ll be presented with the Start Meeting screen (below).  Assuming you are preparing for your meeting, not all members are present, and the chair has not yet formally started the meeting, DO NOT select Start Meeting just yet.   

Rather, select Public Display on the top right of the screen. 

Prior to Starting the Meeting – Open the Public Display

The Public Display will likely appear on your immediate screen as shown below.  It will state the meeting name and details for all to see, noting that the meeting has not yet started. This display will remain for all until you select Start Meeting, but that should wait until the Chair is ready to begin the meeting.

Position the Public Display 

This is somewhat different for all installations, but OpenMeeting staff will have likely worked this out with you and your IT technical team before your first meeting.  You may have one public display screen or multiple. Generally, you will simply drag the Public Display window onto a second extended display screen and leave it there throughout your meeting. 

Start the Meeting  

Select Start Meeting on the Meeting Manager:

Proceed to do Roll Call 

This will be the next event after you Start Meeting. Note the Public Display will continue to display the “Meeting Not Started” display until Roll has been called. When Roll is tallied, it will display as follows:

Conduct the Meeting 

At this time, the Public Display will continue to display on the large public monitor(s), showing the active Agenda Item and Member activity during discussion and voting, as you proceed through the Agenda.
