The OpenMeeting Member App provides everything a board member needs – right at your finger tips. This section guides meeting members through setup to understanding the flow of the meeting.
The OpenMeeting platform application downloads and/or updates are available for customers with a valid software license.
The Member App is used by voting and non-voting members to interact with the Meeting Manager. Members use it to log into or connect to the Meeting Manager, to introduce motions & seconds, to register a request to speak and to vote on items.
The Member App works on Apple iPad/iPhone, Android tablet/phone or Windows PC/Tablets (Windows 10). Download the Member App here.
From the member’s device, click on the Settings wheel on the bottom left of your app:
From the Login Information tab, enter the appropriate Local and Remote IP address, as well as Member’s Username and Password as provided by the clerk. Press Save.
From the Display / Audio Tab, select your desired Display Mode, then Save:
Note: Credentials will be saved for future log ins.
Once the clerk has signed into the Meeting Manager and prior to the meeting beginning, Members can press the blue Sign In button on their Member App:
Until roll is called, Members will see a screen showing they’re connected, waiting for roll to be called:
When it’s time for Roll Call, the Members will see their screen change, asking them to mark themselves Present. Simply press the green button:
The clerk’s Meeting Manager will receive notification of your attendance and include you in the Tally. Your screen will change status to “Waiting for Discussion to Start”.
When the meeting is underway, you’ll notice a “carrot” at the top left of your Member App:
Touch it to expand and be able to view all agenda items:
Touching the carrot again will close the agenda display and allow more visibility to the content of the current agenda item.
As the meeting progresses, Members can interact with the agenda by pressing Motion or Second, respectively:
Following along on the Member App, you can see who made the Motion and you can request to Second or Request to Speak:
When the clerk puts the system in Voting Mode, that’s when Members choose their selection for the agenda item via the buttons presented:
If you change your mind before the vote is tallied, simply press the blue Change Your Vote button:
After all Member votes are cast, the Member app will display a summary of results:
The clerk will then bring the next item up for discussion and the Member App will proceed along with the meeting.
With a motion and second already in place, a member can motion to amend an item by clicking the Amend button:
The clerk will accept the motion and once discussion is complete, your Member App will request your vote for the amended item.
Anytime the meeting is in Discussion Mode and you’d like an opportunity to speak, press the yellow Request to Speak button on your device:
The chair will be notified of your desire to speak and you can see your order in the queue on your device:
Pressing Cancel will remove your desire to speak from the chair’s system.
When it’s your turn to speak, you’ll see a yellow banner at the top of the Member App stating “You Have the Floor”:
After all agenda items are covered and votes are captured, the clerk will end the meeting and your device will automatically be logged out of OpenMeeting. You will need to close the app on your device.
When pressing Sign In from the Member App, you get a connection error:
Verify you’re using the correct IP address and make sure it’s not a network problem.
When pressing Sign In from the Member App, you get a credential error:
Verify with the clerk that you’re using the correct Username, Password and IP address.
If you’re in the Member App and exit out of it either intentionally or accidentally, simply press the Member App icon again and press the blue Sign In button. You will join the meeting in progress.
